Microsoft Dynamics 365 Business Central 28.3: Why the July 2026 Update Matters to Businesses

Microsoft continues to evolve Dynamics 365 Business Central beyond a traditional ERP platform into a more intelligent, automated, and connected business management solution.

The July 2026 update — Dynamics 365 Business Central 2026 Release Wave 1, version 28.3 — reinforces that direction.

While monthly updates typically include fixes and incremental improvements, several enhancements in 28.3 point toward a bigger shift in how organizations will use Business Central: AI agents, intelligent automation, stronger ecommerce integration, electronic documents, and improved operational capabilities.

For business and technology leaders, the real question is not simply, “What new features were released?”

It is:

How can these capabilities reduce manual work, improve efficiency, and create a more intelligent ERP environment?

Here are some of the most important highlights.


1. AI Agents Are Moving Closer to Business Execution

One of the most significant themes in Business Central 28.3 is Microsoft’s continued investment in Copilot and AI agents.

The Sales Order Agent receives improvements that support multiple agents within a company, better item matching, relevance filtering, and simplified configuration.

This represents an important evolution in ERP automation.

Traditionally, sales-order processing relies on users, EDI, ecommerce integrations, workflows, or predefined business rules. AI agents introduce another approach — allowing the system to interpret business context and participate more directly in transactional processes.

For organizations processing a high volume of orders, the potential benefits include:

  • Reduced manual data entry
  • Faster order processing
  • Fewer errors
  • Better scalability
  • More focus on exceptions rather than routine transactions

The bigger shift is that ERP automation is becoming increasingly context-aware rather than purely rules-based.


2. Payables Agent Makes AP Automation Easier to Evaluate

Business Central 28.3 also makes it easier for organizations to experiment with the Payables Agent.

Microsoft now allows companies to try the agent with up to 50 invoices without first configuring an email inbox.

This may sound like a small onboarding improvement, but it addresses an important challenge with enterprise AI adoption: organizations need an easy way to test AI against real business processes before making larger implementation decisions.

Accounts Payable is an ideal use case.

A typical AP process involves invoice capture, vendor identification, purchase-order matching, validation, approval, posting, and payment.

When AI can automate portions of this process, organizations have the potential to reduce repetitive work while allowing AP professionals to focus on exceptions and approvals.

The real value of the trial is that organizations can begin answering practical questions such as:

  • How accurately does the agent process our invoices?
  • How often is human intervention required?
  • Which invoice types can be automated safely?
  • Where can we achieve measurable productivity gains?

That is exactly how AI adoption should begin — with controlled experimentation and measurable business value.


3. Expense Agent Becomes More Business-Aware

The Expense Agent also receives an important enhancement.

When project tracking is enabled, employees can now associate expenses with a project and project task while categorizing an expense.

This is particularly valuable for professional services, consulting, construction, engineering, and other project-driven businesses.

Expense management is not simply about capturing a receipt. The organization ultimately needs to understand:

Why was the money spent, and which project should absorb the cost?

Capturing that information closer to the transaction can improve:

  • Project costing
  • Profitability analysis
  • Customer billing
  • Expense allocation
  • Financial reporting

Microsoft is also extending the Expense Agent experience to mobile devices, further bringing ERP processes closer to where business activity actually happens.


4. Shopify B2B Integration Continues to Improve

Business Central 28.3 also expands its integration with Shopify.

Capabilities such as B2B company synchronization, catalogs, payment terms, and B2B order processing are becoming available across additional Shopify plans.

This is important for organizations using Shopify as their customer-facing commerce platform while relying on Business Central for financials, inventory, order processing, and fulfillment.

A modern architecture can increasingly look like:

Shopify → Business Central → Inventory → Fulfillment → Financials

Stronger native integration can help reduce:

  • Duplicate data entry
  • Custom integrations
  • Inventory discrepancies
  • Order synchronization issues
  • Long-term integration support costs

For growing B2B organizations, this makes Business Central an increasingly attractive operational backbone for digital commerce.


5. Electronic Documents and Manufacturing Continue to Mature

Business Central 28.3 also introduces payments through the E-Document framework in public preview.

Electronic invoicing and structured business documents are becoming increasingly important as governments and trading partners move toward digital transaction requirements.

Having a standardized E-Document framework gives organizations a more sustainable approach than building separate custom solutions for each requirement.

Manufacturing organizations also benefit from stronger subcontracting capabilities within production processes, helping better coordinate purchasing, inventory, vendors, capacity, production orders, and costing.

These enhancements may receive less attention than AI, but they continue to strengthen Business Central as a complete operational ERP platform.


The Bigger Story: Business Central Is Becoming an Intelligent ERP Platform

The individual capabilities in version 28.3 are useful, but the larger pattern is more important.

I see Business Central evolving across three layers:

System of Record

Business Central remains the trusted transactional platform for financials, purchasing, inventory, sales, projects, and manufacturing.

System of Automation

Power Platform, workflows, ecommerce integration, electronic documents, and connectors increasingly automate the processes surrounding ERP.

System of Intelligence

Copilot and AI agents are introducing a new layer where the system can interpret information and increasingly participate in business processes.

The future ERP architecture may look something like this:

Business Activity

AI Agent
↓
Business Central
↓
Workflow & Validation
↓
Human Exception Handling
↓
Transaction Completion
↓
Fabric / Power BI / AI Analytics

Instead of employees manually processing every ERP transaction, Business Central increasingly becomes the trusted operational core behind an intelligent automation layer.


What Should Organizations Do Now?

Organizations running or implementing Business Central should use updates such as 28.3 as an opportunity to reassess their roadmap.

Start by identifying high-volume, repetitive processes such as sales orders, vendor invoices, and employee expenses where AI agents could provide measurable value.

Companies using Shopify should also evaluate whether expanded native integration could simplify their current ecommerce architecture.

And organizations planning Business Central implementations should think beyond simply replacing an older ERP system.

The broader opportunity is to build an intelligent Microsoft business platform that brings together:

Business Central + Dynamics 365 + Power Platform + Copilot + Microsoft Fabric + Power BI


Final Thoughts

Business Central 28.3 is another indication of where Microsoft is taking its ERP platform.

AI is gradually moving from being a separate productivity tool to becoming part of operational business processes.

Sales orders can increasingly be handled by agents. Vendor invoices can be processed through intelligent automation. Employee expenses can capture richer business context. Ecommerce platforms can integrate more directly with ERP.

The conversation is therefore beginning to change.

The question is no longer simply:

“Should we move our ERP to the cloud?”

A more strategic question is:

“How should we redesign our business processes when ERP, automation, analytics, and AI agents become part of the same platform?”

That is where I believe the real value of Microsoft’s Business Central strategy is beginning to emerge.
